Be Careful...Be Smart...Be Diligent..Be Informed!  DO NOT OPEN THAT LINK...YET...or Maybe NEVER!!

Last night, late evening, I received a DocuSign email from an attorneys office that I have not done business with nor am involved with on any transaction...current or past.  Receiving a DocuSign is not unusual but this one seemed too far off.

Although the email supposedly came from a company that is on the edge of the area our company serves...none of our current clients are near there...and yet not always so unusual as we have clients with attorneys and lenders far from their home. 

Of course my antenna's went up very fast.

I could clearly hear and see in my mind Will Robinson's Robot yelling "Danger, Danger Will Robinson, Danger!!" 

How many hairs stood up on my arms?  A lot!! 

So Let's see what raised my concern. And should raise yours if you receive a similar email (or links from unknown folks).

Issue: An email arrives with a Link to an unknown document from an unknown sender. 

Concern 1: Our industry is using these types of ways to sign docs more and more and many times from a sender we know little about. But it ususally shows up during business hours. This showed up about 10pm CDT.

Concern 2: Email address was from "copier@m....elaw.com". A legitimate website and attorney. However, rarely do I receive any email with a DocuSign link from an attorney office or anywhere else and without some notification prior that it is coming.  A text, call, email, in the middle of negotiations, etc.  

Concern 3:  As you can see from the screenshot I marked up...there are a few huge indicators...but they  are easily missed...especially  if we are on our phones.

The time it arrived was the first indicator to me. The lack of any other communication was 2nd.

The mispelled word in the header was 3rd and the biggest; and my email showing my first name twice in lowercase seemed odd.

The tiny copyright symbol in the header also seemed odd and the quality of the verbiage below the blue box seemed a bit hazy.

This email no longer exists in my system.  

The reason for this blog is simple:  Always Notify Your Clients Before YOU Send or Have Sent a link they are supposed to open.  I talk about this with both buyers and sellers as well as family members, agents, and friends.

My message is simple: I will never send links without letting you know in a separate email, text, or phone call what and why I am sending.  The time it takes you to read this paragraph you could have sent a voice text that says something simply like this:  "Hi Jake,  Am sending you a link. It is safe to open and review. Call/Text with any questions, Dad".  I do this often when talking investing with my son, Jake.

Remember...most of us are on the computer for hours upon hours and are well versed on most signing programs.  Many of our clients are not. 

Part of our job is to help protect our clients from harm...that includes computer and phone links.

The scammers are crafty and you always need to be alert. I have had numerous Docu Sign documents sent to me by unknown to me senders / scammers. If I am not expecting it or someone doesn't give me a head up its coming it goes unopened to the spam file.

Congratulations on this feature and your danger, danger warning needs to be repeated continually.  Our Association in August is having a 3 hour class on Deed Fraud presented by an AZ attorney who holds a brokerage license.

The overwhelming majority of the time I assume this is some sort of scam and delete. Every once in a blue moon I may have reason to take a closer look for the possibility it might be legit. I can't recall an instance where it actually was legit. 

The bigger scam, been going on for years now- is the scammers text you claiming they are another agent in your firm- or worse, claiming they are one of our management team members. They tell you that they are tied up right now, but ask you do them a favor and to purchase a gift card for their client- and they will reimburse you later. Not only is that typically out of character- but the number from the text message doesn't match with the supposed agent or managers cell phone #.  I even encountered an instance where the scammers claimed to be me and were asking fellow agents to help me out with a gift card purchase for my client.  All the experienced agents and most of the inexperienced agents are familiar with the scam.

Very timely post! Right now, a lot of my Indianapolis area colleagues are having issues with Docu-Sign. They can't get in and/or access forms. Wonder if this is the reason?

Good advice and warning, Mike. Just one more thing to have to worry about. I have received several Docusigns in the last year that were clearly spam. Block and delete!

Great to warn people.

I win contests, have subscriptions renewed and have people asking if I still sell real estate every and I mean every day.

Yet none are legit so I report Phishing, block spam. And if you can't tell by one Google search if I'm still in real estate, then you're mind is running in reverse and I'll need to side step-ya!

You are so right Mike McCann - Nebraska Farm Land Broker We use Authentisign and my Miami Board of Realtors business colleagues use Docusign.  It is supposed to be password protected. Even those agents have challenges with Docusign.

Nonetheless, I always sent a text and email ahead of pressing the send button to alert the recipient.  Safety first!😎

I feel so bad for those who get scammed with this, Mike. I'm glad you posted this warning now as the DocuSign scam has grown exponentially here in our area. I wish these folks would find something better to do with their time!

A great reminder that we must always have our eyes open, and when flag get raised to take notice and think it through.  I totally agree if we are sending anything to a client or other agent we should either call or text them to be watching for it.  That way they can also contact you in the event they didn't receive so you can assure you had the correct email.  I've had this happen numerous times where my email ended up in their Junk Mail.
