Thoughts After the Gathering

We survived our 18 heads in beds this past weekend and boy was it fun, exhausting, and yet, rewarding. As I sit in the quiet house right now, I am reflecting on the laughter, the huddled groups sharing stories, the games, the massive amounts of food consumed, and the children running through at top speeds. Seriously, I have spent the last few days in recovery mode sleeping a lot!

As much work as it was, I would do it all over again. But, it is always important to reflect on what worked, what could be better, and how to make it wonderful for the next year. Here are some thoughts to ponder after the gathering:

✅ The planned meals paid off! I put a pen to paper down to every item that was needed to pull off the meals. My massive trip to Costco with a list in hand (itemized by food type) made it doable.

✅ Making sure we had a lot of disposable cups, napkins, plates, etc. While not a big fan of these, for this event, it was a lifesaver. We kept all of the disposables in one area in cute baskets where everyone could easily access them.

✅ Having several refrigerators was key! Luckily, we have an extra refrigerator in the garage that allowed us to store the extra drinks, freeing up the main refrigerator for all of the food. If you are entertaining a lot of guests, having adequate space for cold items is a must. Large, ice chests were also great to have on hand.

✅ It was important to ensure we had plenty of towels, sheets, pillows, etc. for every guest. I went room by room before everyone arrived with my checklist. When they all descended, we were ready.

✅ Creating a family or event Group on Facebook. Having a private group provided an excellent way to communicate easily for everyone. We posted questions about specific needs, what to bring, and more. These groups are easy to set up and it paid off big time for us.

✅ Be intentional about not planning too many activities. The goal is to have everyone together. If you try and cram too many things in, this will create stress and that is not the goal. The goal is to be together and to be relaxed.

✅ When everyone leaves, don't kill yourself getting everything back to normal right away. Take some time to self-care, rest, and recover. Do a little bit of laundry each day and know that it will get done eventually.

I have almost finished the mounds of laundry, re-made beds, and spiffed up the house again. It was all worth it and I will once again host this event next year. Happy summer everyone!

LOVE your 'exit interview' helpful tips, Paula! I know your exhaustion was so worth every bit of time you were able to spend with your loved ones - definitely a labor of love.

Living on the lake, we often have guests and like you, I have learned that preparation right down to the itemized grocery list is key to me being able to enjoy the event. This weekend we have 24 + Ray and me for another client appreciation party. In the past, I stressed about them and didn't enjoy them as much as I have in recent years. The key - 100% - is preparation!

18 heads on beds - now that is a whole different level of prep AND clean-up! I say, take your time - you're probably not hosting another 'sleep-over' event this weekend so, the linens can wait!

18 is a large gathering, Paula.  I often have big gatherings at my home.  And, like you, pencil and paper, and planning is EVERYTHING. especially when it comes to meal planning.  It sounds like you did a super job, and everyone reaped the rewards.

I know after such an event, it is not uncommon for me to do a face-plant on a pillow for a day or two afterwards.

So glad the event was so enjoyed by everyone. It's amazing how much easier it is to enjoy everyone when you've planned ahead and are organized. it allows you to enjoy making memories and not be worried about food etc. The whole key is to not try and kill yourself cleaning up after they leave! It doesn't have to be done all at once..take your time, rest up and savor the moments created while they were there.

Paula I had to smile at your to-do list for large gatherings or events. I grew up this way learning from my Mom how to pull this all off successfully time after time.  It's been a running joke for years that if you need someone to pull it off, quickly, call Ms Banana.  Seriously we're ready to host a lot of people and could successfully pull it off by tonight if need be.  Thankfully, that's not needed!!  Because it is a lot of work but we do have some help with it all.

That sounds like a wonderful event!  Pre-planning food and every need helped you to relax and enjoy everyone.  I've not done that at my house as it's too small, but I once hosted a week long trip and rented the house where 19 of us stayed.  We didn't cook as much and were just winging it for food, which made eating out very difficult for that size group.  Since everyone had to travel to get there, including me, it wasn't as easy.  Would have loved to have accomplished what you did for that group.  Congratulations on a successful, well planned event!

Wow!  You are The Organizer, Dr. Paula McDonald ... All these tips are so important to have a successful event, especially when you are entertaining such a large number!  I think one of the best decisions was the disposables -- paper products is the only way to go!  Saved a lot of labor intensive cleanup!

You must have a very large home! Planning holiday dinners when we only have one or two guests is enough for me - I cannot imagine planning meals for 18. Kudos to you for being able to do it!

We are getting ready to head to the cape together in august- there will be 8 of us and meal prep is always an issue. I think I may take some frozen home made foods and assign other nights. Thanks for this!

Hi Paula- whew!!! Sounds like everyone had a good time and that you were the perfect hostess. Planning is important and not worrying if something happens helps too. I've had 40 over for family dinner but never that many who stayed overnight!!!

I too try not to use paper plates, etc but for something like what you had, they're smart to use!
